The Role of an associate member on Abbots Road Allotments
The reason why this position has been created.
Because our society has decided to do away with conventional padlock keys, we now issue tenants with a gate code. We do not allow non-members to access the site unsupervised. Being an associate member allows them to have the code and attend their plot holders' plots. This allows them to come and go freely provided that they abide by the rules of the site.
Note the access gate is monitored by CCTV.
Rules under which associate members operate. It is their plot holding members' responsibility to ensure that they know understand and abide by the rules. These rules are contained in the handbook and tenancy agreement.
What they are allowed to do
(1) They provide their contact details, this is to allow the society to give them gate codes and updates
(2) They can access the site anytime to assist tenant members with their plot. This
includes looking after the plot should the tenant be unwell or on holiday.
(3)They can purchase items from the shop as they are members they do not need to become trading members.
(4)They are welcome to attend society functions.
What they are not allowed to do
Do more work on the plot holders (tenants) plot than the tenant does (should this happen the society reserve the right to require the tenant to transfer the tenancy to the associate member). The exception to this is that should the tenant become long term ill after having the plot for some time,
the committee can make an exception in individual cases. The tenant may be required to produce proof that they are unable to carry out their duties
Do the tenants working party commitments for them. They are welcome to attend and assist with any work. But should they do more work than their plot holder. Then both they will be invited to talk to the committee. Rule 1 could possibly be invoked.
They are not allowed to give the gate code to anybody. The plot holder (tenant) is responsible for seeing that they do not. Giving away codes is covered in the handbook.
They are not allowed to take part in any society business I.e. they do not have any voting rights. They are allowed to attend AGM and EGM as observers only. They may have input if invited to do so by the chair.
